Campaign files, handled.

Prepare campaign video, check every supporter and grantee upload, and route pledges, reports, and photos through reusable processing Templates.

Campaign videos that play on any phone

Appeal and impact videos become adaptive HLS with a poster frame, so a supporter can watch on a slow connection before they give.

Outcomes

What fundraisers and supporters see

The pipeline stays out of sight. What people on your platform see is pledges they can search, grant files that open in place, and uploads that simply finish.

  • Paper pledges show up in search

Scanned pledge forms are turned upright and read by OCR, so a search across a campaign finds gifts that only ever existed on paper.

    The scanned sample pledge form
    Winter meals1/1
  • Donation and grant files open in place

Word, Excel, and PowerPoint files become PDFs with page thumbnails, so staff read them in your platform instead of downloading attachments.

  • Event recordings upload once

Resumable uploads survive a dropped venue connection, so a full gala or livestream recording never has to be sent again.

  • Impact stories arrive with a draft transcript

Field interviews and appeal videos play in your platform alongside a draft transcript staff check before they publish.

    1. We packed four hundred boxes this week alone.
    2. Most families come back every Friday before the weekend.
    3. A monthly gift keeps one family’s shelf full all winter.

Nonprofit file workflows

Six file jobs, off your roadmap

Six workflows that fundraising, grant, and volunteer platforms run on Transloadit. Each one is a Robot, or a recipe of them, already in our library.

Searchable text from paper forms

Turn sideways scans of pledge forms and mailed letters upright and extract their text, so paper gifts reach your platform’s search.

Campaign videos that play anywhere

Encode appeal and impact videos for adaptive HLS playback, with poster frames and thumbnails from the same upload.

Captions for every appeal

Transcribe recorded stories into a transcript and subtitle file, or burn the subtitles in, for supporters watching on mute.

Previews for grant files

Convert proposals, budgets, and reports to PDF and render page thumbnails, so reviewers read them without downloading anything.

Event photos, sized for every channel

Unpack uploaded photo archives, then resize and optimize each image for your donation pages, newsletters, and social posts.

Malware blocked at the form

Virus-scan every file from public donation and grant forms, and refuse the types you do not accept, before anything is stored.

Build versus buy

You keep the fundraising platform. We run the file pipeline.

Transloadit is the processing layer, not a replacement for your donor CRM, grant management, or fundraising platform. Here is exactly where the line sits, so nobody discovers it during integration.

Why nonprofit platforms pick Transloadit

A file pipeline you do not have to maintain

Skip the OCR servers, encoders, queues, and upload retries. Get the same primitives the New York Times and Coursera rely on.
Paper and video in one pipeline

OCR for scanned forms, conversion for Office files, and encoding for campaign video, all from one API.

Outputs ready while the campaign runs

Each upload is processed as it lands, in parallel, without a nightly batch.

Security controls you configure

Signed uploads, virus scans, scoped credentials, and processing in the US, EU, or Asia Pacific.

Scales itself

Workers autoscale through giving days and year-end appeals. Extra work queues instead of failing.

Your storage, your rules

Originals and outputs export to your S3, GCS, Azure, or R2 storage. Temporary copies are purged.

Built for engineers

Maintained SDKs for Node.js, Python, Go, and more, and JSON Templates you can version control and test in CI.

Nonprofit file processing questions

The answers we would give on an evaluation call, including the cases where another tool is the better choice.

Can we process files that contain donor data?

Start with sample files. Before connecting donor or grantee records, review your data requirements with our team, choose the processing region for each job, and export results to storage you control. OCR and transcription Steps call an external provider, so check that provider’s region against your customers’ requirements.

Can Transloadit read handwritten pledge forms?

OCR returns the text it finds on a scanned page, with its position, and handwriting is read with lower accuracy than print. Treat the results as a draft that staff confirm before a gift is recorded, especially for amounts and names.

Does Transloadit process donations or payments?

No. Gift processing, payments, and receipts stay in your platform and your payment provider. Transloadit processes the files around them, such as scanned forms, campaign media, and grant documents.

What happens when a giving day triples the uploads?

Workers autoscale with demand, so there is no capacity to provision for giving days or year-end appeals. Your plan’s Priority Job Slots set how many jobs run at once; additional work queues instead of failing, and you can upgrade or arrange extra slots with our team ahead of a planned peak.

How do we stop abuse of a public donation or grant form?

Sign every upload request on your backend with an expiry, and with signature checking required, unsigned or altered requests are rejected. Filter Steps reject files by type or size before processing, and virus scanning stops malware before a file reaches your storage. Read about Signature Authentication

Does Transloadit keep copies of our files?

Only briefly. Temporary processing copies are deleted after 24 hours by default, and you can stop results from being kept in temporary storage per Template. Assembly metadata, such as file names, is retained as described in our Data Processing Agreement. Originals and outputs are exported to the storage you configure, and retention and deletion happen in your own systems.

Is Transloadit a fundraising platform or a donor CRM?

No. Transloadit is the processing layer between your customers’ uploads and your storage. Donors, campaigns, and grants stay in your platform; Transloadit makes each file searchable, playable, and scanned for known malware. See how document OCR works
